Job description:

This is a contract position through September 2017, with the potential to extend. Provide daily support to the Business Development team, which will include administrative support to the Executive Director of Business Development. The incumbent will work on special projects and provide back-up to the Business Development Associates, as needed.

Essential Duties and Responsibilities: 

  • Provide administrative support to the Business Development team including domestic and international travel arrangements, preparation of expense reports, planning and scheduling of meetings, and development of presentations for meetings with a variety of audiences including Senior Level executives at both a local and global level.
  • Actively participate on special projects to include project planning, meeting coordination, etc. Participate as a member of teams representing the company to coordinate activities, perform tasks involving team projects, and act as a conduit of information to other international associates.
  • Responsible for the oversight of departmental files, including confidential information, to ensure proper storage is handled in a timely manner. Responsible for data entry related to the Records Management and Contract Management.
  • Coordinate business travel and accommodations for local & global visitors to the Berlin Office from Europe and internationally.

Qualifications:

  • High School Diploma required
  • Bachelors preferred OR five (5) years in an office environment
  • Fluency in English and German is essential; knowledge of an additional Eurasian language would be advantageous
  • Experience with a variety of software and technology to include but not limited to web development, AV equipment, MS office (Outlook, Word, Excel, PowerPoint).
  • Must have excellent written and verbal communication skills.
  • Must have excellent planning, organizing and implementation skills.
  • Proven ability to manage multiple priorities and meet deadlines.
  • Experience in managing complex schedules, calendars, and travel arrangements,
  • Extensive meeting coordination experience, including negotiation of location, amenities and price.
  • Experience in effectively managing relationships with internal and external customers, including individuals in Executive level management, etc.
  • Excellent project management and priority-setting skills.
  • Must exhibit good judgment.
  • Ability to maintain the confidentiality of information.
  • Work hours are governed by office needs. Overtime may be required and where possible, adequate notice will be given.
  • May be required to travel occasionally.
